How AI is Transforming Restaurant Reservations

It has only been weeks since a new AI (Artificial Intelligence) model in the form of DeepSeek broke the headlines, but it’s already shaping up to be just one of ChatGPT’s ever-growing number of competitors. 

The shift is obvious: AI is here to stay and it’s evolving fast. 

Numerous sectors, from retail to finance, have been racing to quickly adopt AI into their operations. But, the same can’t be said for the restaurant industry. In fact, there’s been some conversations over why restaurants hesitate to embrace AI. 

Let’s be clear though: it’s not for lack of availability in restaurant tech. Restaurant tech is advancing just as fast, but expertise in implementation can be hard to come by and overhead costs can be too much for smaller businesses. 

The Rise of AI-Powered Reservations

Late last month, OpenAI launched a new tool called “Operator.” Sam Altman, the CEO behind the startup that runs ChatGPT,  has described it to be “an agent that can go to the web to perform tasks for you.” 

This coincides with Anthropic’s –the AI startup behind ClaudeAI – earlier release of a feature called “Computer Use,” which allows AI agents to complete tasks on the web without human intervention.

Both have used restaurant reservations as an example to illustrate how their tools work.

The main difference between these two AI agents is that ChatGPT’s Operator can crawl and interact with web elements, like buttons and forms, while ClaudeAI’s Computer Use can take information and interpret what’s on the page but can’t interact with it in the same way that Operator can.

In short, ChatGPT’s Operator can make real bookings on websites – an absolute game-changer for both restaurants and diners. 

**As of writing, Operator is only available to ChatGPT Pro users in the United States. 

Beyond Reservations: AI Chatbots in Restaurant Operations

AI and Restaurant Reservations

Two of the challenges restaurants often face are overbooking and no-shows, caused by either the customer backing out on short notice or confusion within front-of-house operations. This can create a negative dining experience, which can ultimately impact the restaurant’s reputation.

With this in mind, restaurant reservations leave a lot of space for AI to help tackle these challenges. Here are just a few:

  • Forecasting customer demand
    With AI, restaurants can use existing data to predict which time or day of the week customers are likely to book, allowing them to intuitively manage staff headcount and availability..
  • Automated waitlist management
    Keeping waitlists constantly updated can be daunting for front-of-house operations,  especially when customers suddenly cancel shortly before their scheduled reservation.

AI can solve this by automatically notifying waitlisted diners when a table is ready, reducing the burden on front-of-house staff.

A great existing example of this is ResDiary, a hospitality booking software that has a chatbot you can integrate with Facebook Messenger for automatic query handling.

Personalized Recommendations

Another AI benefit is the one-to-one experience for diners. Gone are the days of canned responses that can’t adjust dynamically to the many nuances of customer inquiry. Today, hyper-personalization is highly valued. People seek experiences that cater to their individual needs and interests, and AI can help make this happen for each and every customer

When AI can access data such as the customer’s seating preferences, dietary restrictions and favorite dishes, it can enhance their dining experience by offering personalized recommendations, suggesting ideal seating arrangements, and even remembering past orders.

This level of customization makes diners feel valued and encourages repeat visits. 

A recent example: Open Table’s collaboration with ChatGPT. Though this is only available to ChatGPT Pro users in the U.S. and Canada, this feature allows individuals to search for the perfect restaurant based on their prompt.

Gathering Feedback & Driving Engagement

AI can use collected data to help restaurants through continuous improvement tips. Additionally, it can also take the initiative in actively gathering reviews:

  • Automated Feedback Collection 
    AI can send post-dining surveys or feedback requests via email or SMS, making it easier for customers to share their experiences. This approach is more streamlined for collecting reviews compared to reading through every paper feedback form given to customers.
  • Reputation Monitoring
    AI can analyze customer reviews, social media comments, and survey responses to gauge overall sentiment. It identifies recurring themes, such as food quality, service speed, or ambiance, helping restaurants pinpoint areas for improvement.

Google Duplex, an AI system that promises to complete real-world tasks via phone, does this best. While primarily used for making reservations, Google Duplex can also gather feedback by asking customers about their dining experience during follow-up calls.

Google Duplex is integrated with Google Maps and Search to recommend restaurants based on user preferences and past behavior, enhancing engagement through personalized suggestions.

What AI Needs to Resolve First

While AI offers significant benefits for restaurant reservations, it also faces several challenges that need to be addressed. 

  • Data Privacy and Security  
    AI systems rely on collecting and analyzing customer data. This has raised several concerns about data privacy and security. There’s also an ongoing conversation about customer data being used for machine learning without their consent. 
  • Integration with Legacy Systems  
    Some restaurants continue to use legacy POS systems, or outdated manual workflows. AI providers then need to find flexible solutions that can cater to these kinds of operations. 
  • High Accuracy in Forecasting 
    AI often relies on historical data when it comes to forecasting. But in a market that is constantly changing, this approach may end up becoming less accurate over time. This can easily be mitigated by feeding data real-time.
Conclusion

As we enter an era where convenience and hyper-personalization are redefining customer experience, many restaurants might need to consider integrating AI-driven solutions—from chatbots to automated reservations. 

While challenges like data privacy and legacy systems persist, AI engineers must find ways to enhance data security and provide flexible solutions that simplify adoption, even for smaller brands.

Even still, the future looks promising as constant AI innovations continue to emerge.
